Account Creation

You must create an account to use certain features. You are responsible for maintaining the confidentiality of your account credentials and for all activities under your account.

Eligibility

You must be at least 13 years old to use the Service. Users under 18 should have parental consent.

Account Accuracy

You agree to provide accurate, current, and complete information during registration and to update such information to keep it accurate.

Publishing fee

Events with 500 photos or fewer publish free. Above that, publishing requires a one-time fee for the event, set by the number of photos in the event at the moment you publish. Current fees are listed on our Pricing page and are shown on the Publish button and again before checkout.

• Fees are in US dollars. Applicable sales tax is added at checkout.
• Our payment processor may present and charge the total in your local currency at its exchange rate.
• If photos added after payment move the event into a higher tier, you pay only the difference before those photos go live.
• We may change fees. An event created before a change keeps the previous fees for 30 days after it takes effect.
• We may waive the fee for an event at our sole discretion.
• An event over the free limit stays unpublished, and not publicly visible, until its fee is paid.

Payment processing

Payments are processed by Stripe. PacePics never receives or stores your full card number. By paying, you also agree to Stripe's terms for the transaction. Receipts are emailed to the organizer's account address.

How long galleries stay up

On a free or fee-waived event, the hosting period runs from the day the event is first published, or from its event date if that is later, up to 30 days after publication. It is set once, at first publication: changing the event date afterwards does not move it. On a paid event, it runs from the most recent payment, or from the start above if that is later, so a later upgrade payment starts the period again from that payment. Unpublishing and publishing again does not restart it.

Once a hosting period has ended, the event cannot be published again unless its hosting is extended.

Events published before October 9, 2026 keep the hosting period in force when they were published. A change to an event never shortens a hosting period we have already confirmed, except when a fee waiver is withdrawn. Even then, the gallery stays up for at least 30 more days.

The organizer of a published free event with 500 photos or fewer may extend its hosting once, for a one-time fee of $5 USD plus applicable tax. The extended period is 3 years from the payment, or the period already in force if that is later. The extension covers hosting only. It does not change the event's photo limits or tier, and it is final once paid.

Expiry and deletion

We email the organizer before a gallery expires. After expiry, the event's photos are removed from the Service and may be permanently deleted. Photographers and organizers are responsible for keeping their own copies; PacePics is not a backup service. An organizer may delete an event at any time, which removes its photos from the Service.

When a gallery expires, we keep up to three small preview images on each photographer's public profile. Ask us to remove any of them.

Uploads are never blocked

Photographers can upload to an event regardless of its photo count or payment status. Photos on an unpublished event are visible only to the organizer and to the photographer who uploaded them.

How we use photos in our own marketing

The promotional part of that licence is what lets us show real race photos when we explain what PacePics does, rather than stock images of a sport we do not cover. We credit the photographer, and the event, wherever the format carries a credit, and we link back to the photographer's profile wherever the medium supports a link. Some formats do not carry one: a cropped background, a small in-app illustration, a single frame in a video. The licence does not depend on a credit appearing, and no separate approval is needed before a use.

The licence is royalty-free in both directions. We pay nothing to use a photo in our own marketing, we take no commission on a photographer's work, and we do not sell, syndicate or sublicense photos to third parties to advertise their own products. Sublicensing extends only to the platforms and suppliers we publish through, such as a social network, an ad network, a print shop or an agency working on our behalf.

Deleting a photo, or an event gallery being removed or expiring, ends our right to make any new promotional use of it. Material already published or distributed before that point may stay in circulation, because a printed page, a third-party repost or a delivered email cannot be recalled. To ask us to stop using a specific photo in our marketing, or to raise any rights complaint or takedown request, write to the address in section 14 and identify the photo. We answer rights complaints, and we remove infringing content.

Photographer representations

By uploading photos, photographers warrant that:

• They own or have the rights to every photo they upload
• Photos do not infringe on third-party rights
• They have the necessary permissions to photograph at the event
• They hold whatever consent or release is needed for the photos to be shown publicly, to be downloaded by the public, and to be used as described above, including for the likeness of the people in them
• Content complies with applicable laws and these Terms

Downloaded photos: personal, non-commercial use

Downloading a photo gives you a personal, non-commercial licence to it. The photographer keeps the copyright.

You may keep it, print it for yourself, and post it anywhere, including social media, a personal website, or a non-commercial club or team page.

You may not sell the photo or a print of it, license it to anyone else, offer it through a stock library or a print-on-demand catalogue, use it to advertise or promote any product, service, brand, race or business, or use it to train a machine learning model. Bulk or automated downloading of a gallery is not permitted either.

Credit the photographer whenever you post a photo, and credit the event too where the space allows it. Galleries credit the photographer by default and link to their profile, so the name is normally right there on the photo. Where a photo carries no name, credit the event and PacePics.

Commercial use requires separate licensing, arranged directly with the photographer. PacePics is not a party to that licence and takes no part of it. Race organizers are not exempt: using a photo to promote a future edition of a race is commercial use, and is a matter between the organizer and the photographer.

Release

To the fullest extent permitted by law, you release PacePics and its operators from any claim arising out of a use of photos that this section permits, including their public availability, their download at full resolution by anyone, and our promotional use of them. This release covers us, not other people: nothing here limits your right to pursue anyone who uses a photo outside what these Terms allow, and nothing here waives a claim the law does not permit you to waive.
